PTA Electronic Board Meeting the week of 11/17/08-11/21/08

Current Account balance: $30,479.85
Figures for Ice Cream Social ($208.23)
Surfin’ Safari Beach Blast ($1,069.29) are not final: Building use fees need to be paid for both, and additional expenses for SSBB.
After School enrichment for the Fall 2008 session earned between $550 and $600 (waiting for materials fee info from a few of the instructors)
Fall Fundraiser earned around $7,600 (waiting for reimbursement for pizza party)
Evening of Giving: $217

Coins for a Cause: $912.18
Fall Fundraiser – Linda Lynch - Pick up was Nov. 19th. All but 22 people picked up their orders. Everyone took home a few orders and contacted the customer to arrange for pick-up. As of right now there are only 5 customers with missing items and 2 with broken items. There was one customer who received a wrong order even though her child's name was on the bag. A couple of parents commented on the clear bags as they had Christmas presents in them that their kids were able to see. I have spoken to Christoline about this to change in the future. I will do research into other fundraising companies for comparison before we make a decision to sign with Cristoline for next Fall.
Family Fun Fair –Linda Lynch - Saturday, February 7th with set-up the night prior on the 6th. In the upcoming weeks I will be getting organized for this event. I am looking to do what we did last year by having a "go-to person" in charge of each area of the fair on the day of the fair (Food, Crafts, Games, Prize Distribution, Cake Walk, Donations, Raffle Table). If you are interested in one of these positions, just let me know. Also, I'd love to have feedback/suggestions on what worked last year, what we should change for this year. I would like to have a theme...Dee, any suggestions?!!!
Square 1 Art Update - Jessika Welch
AES orders were sent out Tuesday, 11/18 by me and Becky Bailey.
CES orders are being sent out Monday, 11/24 by Becky Bailey.
Ordered items for both schools arrive on 12/12.
Pickup date for items is Tuesday, 12/16 at Cashman: 2 hallways from 3PM to 9PM. Any help on this day would be much appreciated.
To submit a late order we need to have at least 10 order forms. We will see if we get enough late orders.
I don't have the number of orders yet, or percent participation.
We (PTA) receive 30% of sales.
In-School Programming – Kerri Dalton
-Binders are updated and stocked with blank request forms in the teachers' lunch rooms.
-Please put any ISP mail aside in the PTA box at each school and I will pick up to add to binders.
-If you receive a request form from a teacher, please give to me or Dee - in the PTA box is fine.
Membership update – Jean McCarthy -
We have 288 members, 138 are single members and 75 are double memberships. I am still waiting for the membership cards so I can print them and send them out.
Website – Gail Browne - Keep sending content info so that I can put it up on the web. Comments/suggestions about the website are always welcome
Science Fair – Julie O’Neill –
- The fair will be Saturday March 14th at AMS, this year's theme is "Superheroes of Science"
- We will extend drop-in activities to 9am-1pm and invite the public between 12 & 1 after judging closes so family members can see the presentations in tact.
- Curious Creatures is also booked for 11am-1pm and added to the drop-in activities.
- The science fair info meeting for kids and families is tentatively scheduled for Wednesday January 14th at 6:30pm in the Cashman Café.
- Two things I would like your input on:
- Bring back Jeff Danger or find someone else for the Auditorium show? He price did go up last year by $100. Suggestions welcome.
- The North Shore Astronomers already have another Star Party booked for Friday March 13th (full moon is a popular weekend). Do we want to book them for Saturday night right after the science fair, Sunday night again, or see if they can double book Friday night? I am also looking into have an inflatible planetarium presentation there too, do we just want to have that?
